Terms and Conditions

1.Booking and Reservation:

  • Reservations can be made through our website, by phone, or in person. Prior notice for in person booking must be communicated at least a week prior, impromptu walk-ins are not allowed.
  • Once finalized, an e-invoice will be made and sent to you .
  • Full payment is required to secure the reservation. In the event that this is not possible, part payment will be accepted with remaining balance paid no less than 3 days to the event. Delays with payment means automatic cancellation unless a mutual agreement has been reached.

2.Rental Period:

  • The standard rental period is 7 hours.
  • We do not deliver/ set up the day before the event. We only come 2-3 hours prior to start of event to set-up and render our service. Intentionally giving wrong timings eg. 7am when you are well aware the event starts at 4pm will attract deduction from refundable deposit for extra waiting hours. We prefer you let us know you want us to come earlier, than to give wrong timings.
  • Additional days can be arranged at an extra cost.

3.Delivery :

  • For Chafing dishes and hand washing stations, delivery is inclusive in package price. These delivery prices are calculated to cover our most frequented locations within Accra. We reserve the right to increase delivery fees if your location is out of our calculated area.
  • For buffet bars and mist fans, delivery depends on the number you order and your location.
  • The customer is responsible for providing accurate delivery information, preferably with google maps.
  • We are responsible for the transportation of all packages and services rendered.
  • Failure to inform us when indoor events will be on other floors and not on ground floor will attract a deduction from refundable deposit.

4. Condition of Equipment:

  • Chafing dishes will be in good working condition upon delivery.
  • The customer must report any damage or issues immediately to our rep on site.
  • The customer is responsible for any damage or loss of equipment during the rental period caused by any negligence on their part and will attract a deduction from refundable deposit.

5. Security Deposit:

  • The customer will be required to make a deposit which will be calculated based on the total value of items for the order
  • It must be paid in full and will be refunded upon the return of undamaged equipment.
  • The security deposit will be used to cover any additional fees, damages, or losses.

6.Cancellations:

  • Cancellations made at least 48 hours before the scheduled delivery date will receive a partial refund.
  • Cancellations within 48 hours of the scheduled delivery date will not be eligible for a refund.

7. Insurance:

  • Both parties ie Maxe Empire and the customer will indemnify the other party for losses or damages caused by their own breach of contract( any injuries, damages, or losses during the rental period).

8.Substitution:

  • Maxe Empire reserves the right to substitute similar equipment in case of unavailability.

9.Force Majeure:

  • Maxe Empire is not liable for failure to perform its obligations due to circumstances beyond its control, such as natural disasters or unforeseen events.

10.Jurisdiction:

  • Any disputes arising from the rental agreement will be subject to the jurisdiction of the local courts.
  • By completing the reservation, the customer agrees to abide by these terms and conditions.
  • Maxe Empire reserves the right to update or modify these terms at any time.

11.Responsibility:

  • Our team is responsible for setting up all items and hanging around to ensure smooth and uneventful operations. This means our rep(s) will be around at all times during the event.

For chafing dishes

  • Our team is responsible for setting up on the table, polishing and making of hot water into it. All the customer has to do is to dish food into and out of the chafing dish. Our rep(s) is responsible for clearing out the food particles left after service and packing the dishes to be brought back. The customer does not have to clean the dishes especially with abrasive cleaners or scouring pads on the chafing dishes.
  • Do not put chafing dishes directly on fire/heat/flame/induction in the event that food needs to be heated. The only source of heat allowed is from the chafing dish gel fuel. We do not provide the chafing dish gel fuel however it can be arranged for you if requested at an extra fee.
  • The customer is to ensure that hot water has been put in the dishes by our rep(s) before placing chafing dish gel fuel underneath the dishes.
  • The customer is responsible for the safe use and operation of the chafing dishes.

Buffet Bars

  • Our team is responsible for set-up and cleaning of the buffet bars before and after event.
  • The customer is not allowed to clip or stick flowers or branded materials on our bars.
  • The customer should not place hot items (coal pot, asanka etc) directly on our bars.
  • The customer should not burn coils on our buffet bars
  • The customer is responsible for any damage/loss caused by negligence on their part and will attract a deduction from refundable deposit.

Mist Fans

  • The customer is responsible for making sure they are electrical ports available to power our mist fans
  • The customer must ensure there is water supply to be used in mist fans for outdoor events.
  • The customer must provide ice to be used to provide the mist effect for outdoor events. Kindly note the mist fans can be used in normal fan mode without the water and ice.
  • Our reps will come with extension cables to tap power and will be responsible for positioning mist fans at the right places depending on the setup.
  • Our reps will be responsible for putting ice and water in mist fans and ensuring it is working throughout the event.
